A tag links a photo or video to one routine on the programme, or to one item on the event schedule such as a section or an awards ceremony. It is the most important thing you do after pressing the shutter.
Why the Tag Matters
The tag decides who can see the file.
- A dancer, parent, or studio sees the media tagged to the routines and items they danced in
- A visitor to the event's media store finds media by entry number or section, and has to name a dancer who performed in that routine or item before any preview opens
- Where media is sold, the tag is what is sold: a family buys one routine's photos and video, or one item's
So a file tagged to the wrong routine is shown to the wrong family and is invisible to the right one. Nobody receives an error. The family simply never finds their photos.
One Routine or a Whole Item
| Tag | Use it for | Who sees the file |
|---|---|---|
| One routine | Almost everything: the photos and video of one performance | The dancers in that routine, their parents and their studio |
| A whole section | Shots of the whole section: the line-up, the group on stage together | Everyone who danced in that section |
| General | Backstage, the audience, the venue | See The General Section below |
A file has one tag. A file tagged to a routine is not part of the section's media, and a file tagged to the section is not part of any routine's. Choose the routine whenever the file shows one performance.
Tagging as You Upload
- On the Upload page, under Where do these files go?, choose One routine
- Type the entry number from the programme, for example 42. The day, item and routine fill in by themselves. You can also pick them from the three lists
- The drop box unlocks. Drop the files for that routine
For a whole section, choose A whole section and pick the day and the section. Only sections are listed: photos of breaks, prize-giving or anything else that is not a performance go under General.
The line under the drop box, "Uploading into", always shows where the next files will go. Read it before every drop.
The drop box stays locked until a routine or an item is chosen, or until you choose General (untagged) on purpose. Nothing can go to General by accident.
Only submitted entries can be tagged. A number that no submitted entry has is refused on the spot.
On an event with more than one stage, each day is listed once per stage, with the stage in brackets after the date. Two stages running on the same date have different items, so check the stage before you choose.
Changing a Tag Afterwards
- In the gallery, tick the files you want to move. Use the section filter or the entry number box first to narrow a long gallery
- Click Re-tag
- Choose One routine, A whole section or General, then the routine or section
- Click Apply
Re-tagging is safe to do at any time. The file, its preview, and its statistics stay as they are. Only who can see it changes.
The General Section
General holds everything that is not one performance: backstage, warm-ups, the audience, the venue, prize-giving.
The organiser chooses who sees General:
| Organiser setting | Who sees General |
|---|---|
| Only visitors who opened one of their own routines by naming a dancer | People who have already shown they belong to the event |
| Anyone with the store link, no dancer name needed | Everyone who has the link |
Treat General as semi-public. Do not leave a close-up of one child in General when it belongs to that child's item.
Items with no performers, such as a lunch break or an awards ceremony, can be tagged like any other item. Because nobody danced in them, they follow the same rule as General.
When the Schedule Changes
Organisers move and rebuild schedules up to and during an event.
| What the organiser does | What happens to your tags |
|---|---|
| Changes the order of items within a day | Nothing. The tags stay |
| Removes an item from the schedule | Media tagged to the item loses the tag and moves to General. Media tagged to a routine keeps its tag. Nothing is deleted |
| Moves an item to a different day | The same as removing it: the item is taken off one day and added to the other as a new item, so its item-level media moves to General. Routine tags stay |
| Clears a whole day | Every file tagged to an item on that day moves to General. Routine tags stay |
A routine tag is the entry itself, not its place on the schedule, so it survives every schedule change. That is one more reason to tag routines.
To recover item-level media, open the Overview page: the Untagged tile opens the gallery on General (untagged). Tick the files and re-tag them to the new item.
Ask the organiser whether the schedule is final before you tag whole items across an event. Tagging a day of photos takes hours.
Common Questions
Q: Can one photo be tagged to two routines?
A: No. A file has one tag. For a photo that belongs to two routines, upload it twice and tag each copy.
Q: The routine I need is not in the list.
A: The list holds the event's submitted entries, under the item they are danced in. If the organiser has not built the schedule yet, there are no items, and the picker says so. Upload into General and tag once the schedule exists. A withdrawn entry cannot be tagged.
Q: A parent says they cannot find their child's photos.
A: Type the entry number into the gallery's entry number box. If the photos are missing, look in the whole item, in General and in the routines on either side, where a mistimed drop usually lands, and re-tag them.
