Uploading Photos and Videos

File limits, how the upload queue works, what each status means, and how to upload reliably on venue internet.

Open the event from My Events and choose Upload in the menu. The gallery has a page of its own. Everything you upload belongs to your provider.

If your provider works through links to its own site or storage, the Upload page takes no files and has the link tools instead: add a link per routine there. See "Store Statistics and Purchase Links".

What You Can Upload

TypeFormatsLargest file
PhotosJPEG, PNG, WebP60MB each
VideosMP4, MOV5GB each

Camera RAW files and HEIC files are not accepted. Export to JPEG first. A file that is too large or the wrong type is refused before anything is sent, with the reason shown under the drop box.

There is no limit on how many files you drop at once.

How to Upload

  1. Under Where do these files go?, choose One routine and type its entry number (or pick the day, the section and the routine), choose A whole section for shots of the whole section, or choose General (untagged) for anything that is not a performance
  2. The drop box unlocks. Drop your files on it, or click it to browse
  3. Check the line under the box that starts "Uploading into". It names exactly where these files will go
  4. The upload list appears and the files start going up

The drop box stays locked until you have chosen. Your choice stays for the next drop, so the fastest way to work is routine by routine: type the entry number, drop that routine's files, type the next number, drop the next batch. You can also upload everything into General and tag afterwards. See "Tagging Media to Schedule Items".

The Upload List

Three files go up at a time. The rest wait their turn, which keeps each one moving on a slow connection.

StatusMeaning
WaitingIn the queue. Nothing has been sent yet
PreparingGetting permission to store the file
UploadingGoing up. The percentage is for this file
ConfirmingArrived. The platform is checking the stored file
UploadedDone. The row clears itself after a few seconds
FailedDid not arrive. The reason is shown on the row

The line at the top counts the whole drop, for example "42 of 300 uploaded", and includes files whose row has already cleared.

  • Cancel one file: the cross on its row
  • Cancel everything that has not started: Cancel the waiting at the top. Files already going up carry on
  • Try a failed file again: Retry on its row

Keep the Tab Open

Uploads run in your browser. You can move between the event's pages while they run, and Upload in the menu shows how many are still going, but closing the browser tab or reloading the page stops every upload that is in progress.

If that happens, the unfinished files show "Upload interrupted. Please re-select the files." when you come back. Files that had reached Uploaded are safe. Select the interrupted ones again, and dismiss the old rows with the cross.

After a File Arrives

Every file gets a watermarked preview, which is what parents and spectators see. Your original is stored untouched.

Gallery badgeMeaning
Processing previewThe preview is being made. Photos take seconds, videos a few minutes
ReadyThe preview is made and the file is live
FailedThe preview could not be made. Delete the file and upload it again

The gallery does not refresh while previews are being made. Click Refresh to see the latest state. The Overview page counts how many files are still processing and how many have failed.

Storage

The line beside the event name shows how much has been uploaded for this event. If the organiser prepaid for storage, the prepaid amount is shown as well.

Going over the prepaid amount never stops your uploads. That is between the organiser and the platform. The only hard stop is a very large overall limit per organisation (2TB), and you will see a clear message if an upload would pass it.

Uploading on Venue Internet

  • Photos during the event, videos afterwards. A day of photos is a few GB. A day of video can be fifty times that
  • Upload in breaks, not during a session, when the venue network is carrying the live schedule and scoring
  • Use a cable or your own connection for video where you can. A large video goes up in parts of 100MB, and a part that fails is sent again by itself, but a connection that keeps dropping will eventually fail the file
  • Leave the laptop awake. A computer that sleeps stops uploading
  • A failed file costs nothing: nothing is counted until the file has fully arrived

Common Questions

Q: A file failed with "Network error during upload".
A: The connection dropped and three automatic attempts did not get through. Click Retry when the connection is back.

Q: A file failed with "Storage responded 403".
A: The permission for that upload ran out before the file finished, which happens when a very large video takes many hours. Click Retry on a faster connection.

Q: I dropped the wrong folder.
A: Click Cancel the waiting, then cancel the few that had already started. Anything that reached Uploaded can be deleted from the gallery.

Q: Can two of us upload to the same event at the same time?
A: Yes. Each person uploads from their own account and everything lands in the same gallery.
