Event Settings and Publishing

Control your event status, visibility, results publishing, and danger zone actions.

Manage your event's status, visibility, results publishing, and administrative actions from the Settings page. Dancer check-in and entry notes moved to the Event Editor on 2026-08-19: check-in to its own Dancer Check-In section, entry notes to the new Entry Settings section.

Accessing Settings

From the Event Dashboard sidebar, click Settings.

Quick Links

The top of the Settings page provides shortcuts to:

  • Edit Event Details: Opens the Event Editor to update name, dates, venue, fees, and configuration
  • Event Branding: Opens the branding page to customise logo and colour scheme

Event Status and Visibility

Event Status

StatusMeaning
UnpublishedEvent is hidden. Registration, tickets, program, and schedule are disabled
PublishedEvent is live. All public links are accessible

Changing status triggers a confirmation dialog. When publishing, the system checks that all required configuration is complete (age groups, styles, levels, performance types, pricing, and scoring). If anything is missing, you'll see a list of items to resolve.

Publishing Limits

Each unique event counts towards your subscription's publishing limit once. Unpublishing and re-publishing the same event does not count again. If you've reached your limit, you'll be prompted to upgrade.

Public Event Toggle

  • When enabled, the event appears in public event listings and is visible to everyone
  • The event must also be Published to appear in studio and dancer dashboards
  • Changes are saved automatically

Result Visibility

Control when and how competition results are visible to participants.

  • Results to Display: Control which placements are visible:
    • Display all results: Everyone can see all placements and scores
    • Hide all rankings: No placements visible until reveal timing fires
    • Hide Top 3 / Top 4 / Top 5: Top placements are hidden; remaining are visible

When entries are hidden, every identifying detail is obscured (rank, scores, routine, dancers, studio).

  • When to Reveal Hidden Results: Pick one of six options:
    • Always show results: Results appear as soon as a section is fully scored, nothing is hidden
    • After each section: Reveal when all entries in a section have been scored
    • After awards ceremony: Reveal in pulses tied to each awards-ceremony schedule item. Sections without a triggering ceremony fall back to end-of-event
    • End of each day: Reveal results for a day once that day has been closed
    • End of event: Reveal everything once the last day is closed
    • Manual reveal: Hidden until you click "Reveal results now" on the dashboard, settings, or results page. Anything scored after the click stays hidden until the next click
Note (2026-05-07): The old standalone "Publish Results" master
toggle was removed. Reveal timing is now the sole gate, and **Manual
reveal** replaces the old "off" state.

Changes are saved automatically.

Dancer Check-In

Moved (2026-08-19). Dancer check-in is now switched on in the Event Editor
under Dancer Check-In, alongside the rest of your event configuration. The
check-in page itself is still reached from Dancer Check-In in the Event
Dashboard sidebar.

Free Scoring Mode

Let judges score sections in any order instead of following the automatic schedule. This is useful when:

  • The automatic score-based progression doesn't match the floor plan
  • You need to skip, reorder, or revisit sections on the fly
  • Technical issues require pausing automatic advancement

How it works:

SettingEffect
Enable Free ScoringPauses automatic progression. Judges can navigate freely to any unlocked section via the schedule menu. The schedule must be published first
Disable Free ScoringResumes automatic progression. The live schedule syncs to reflect actual completion state. Judges ahead of the schedule will wait for others to catch up

What viewers see:

  • The live schedule shows a FREE SCORING badge instead of the green LIVE indicator
  • "Now Performing" and "Up Next" sections are hidden (since judges are scoring freely)
  • Delay estimates are suppressed

What judges see:

  • A yellow "Free Scoring Mode" banner at the top of their scoring screen
  • The schedule drawer (bottom-right menu) becomes navigable. Tap any unlocked section to jump to it
  • Section locking still applies: completed sections cannot be re-entered
Tip: If you enable Free Scoring Mode when the day hasn't started yet, it will be auto-started for you.

Danger Zone

These actions are irreversible. Each requires a confirmation dialog before proceeding.

ActionWhat It Does
Reset All Judging ScoresDeletes all scores, criteria scores, nominations, battle data (votes, rounds, participants, sessions), entry results, awards, and certificates. Also clears judge schedule progress (completed sections, resume positions), resets competition judging status (live position tracking), and unlocks all scorecards so judges can re-enter scores
Reset Schedule StatusResets all schedule days to "Not Started", clears the current item index, AND deletes all scores, results, awards, certificates, judge progress, and judging status. Unlocks all scorecards
Purge All Judge DataRemoves all judge assignments, section assignments, access links, judge programs, scores, nominations, battle data, entry results, judge schedule progress, and judging status. Unlocks all scorecards. Useful for cleaning up after judges are removed
Delete EventPermanently deletes the event and all associated data. Requires typing DELETE to confirm
